Your PDF is too big to email: what to do

You hit send and get "attachment too large". The file is 28 MB, Gmail's limit is 25 MB. You need to lose 3 MB and have no idea where they are.

How-to

Reaching straight for compression tends to produce a smudged document. Finding out what is heavy is quicker.

Usually one thing is responsible

Kind of PDFWhy it is heavyRoom to shrink
Scanned or photographedA full-size image on every pageA lot
Exported from Word or similarText is light. The embedded images are notSome
Drawings and chartsLots of line and shape dataLittle
Text only, yet still heavyFonts embedded in fullSome

Scans are the common case, and scans are also where the most weight can come off, because the original is usually higher resolution than anyone needs.

First: drop pages you do not need

More reliable than compression. If they only need 5 of your 20 pages, removing 15 cuts the file to a quarter and leaves the quality untouched.

Pull out the pages you need

Then: lower the quality

If every page has to stay, compress. One question decides how far to go: will they read this on screen, or print it?

  • On screen only, you can be aggressive. Legible is enough.
  • For print, be careful. What looks fine on a monitor can show ragged edges on paper.
  • Documents with a stamp or signature deserve extra care. A blurred seal invites questions.

Shrink a PDF

Save the smaller file under a new name. Overwriting the original leaves you with nothing to print from later.

When it will not shrink further

28MB comes down to 20MB and stops. Compressing an already-compressed image costs quality and saves nothing.

Change approach instead: split the document across two messages, send a cloud link, or rescan. A fresh scan at 300dpi in black and white is nearly ten times lighter than colour at 600dpi.

Email is the generous case. Government portals ask for kilobytes, not megabytes. One visitor applying for an Indian e-Visa described on Reddit having to get a 3 MB passport scan under 300 KB, without wanting to use random third-party sites. The official e-Visa page asks for the "Scanned Bio Page of the passport" as PDF with "Size : Minimum 10 KB ,Maximum 300 KB". At that scale, compressing the existing scan rarely gets there: rescan just the bio page, in greyscale, at a lower resolution, then compress to the exact size.

For a portal with a fixed cap, use a tool that targets a size rather than guessing: compress a PDF to a size you choose, or straight to 500 KB, which is a common cap.

Attachment limits: Gmail, Outlook, work email

ServiceOfficial limit
Gmail (personal account)25 MB
Outlook.com and other internet email accounts20 MB
Exchange (business email)10 MB by default
WhatsApp, sent as a document2 GB

Google's help page says: "For personal Gmail accounts, the limit is 25 MB." Microsoft's Outlook help says: "For internet email accounts such as Outlook.com or Gmail, the email size limit is 20 megabytes (MB). For Exchange accounts (business email), the default email size limit is 10 MB." Those figures are per message, and as of 2026 it is worth checking the current pages before relying on them.

The limit that bites is often the recipient's, not yours. Your Gmail lets 25 MB out, but a colleague on a company Exchange server may only accept 10 MB, and the message bounces on their side. When you do not know what the other end uses, aim under 10 MB.

What Gmail does with a file over 25 MB

Gmail does not simply refuse. Its help page says: "If your total attachment size is greater than the limit, Gmail automatically removes the attachment and adds it as a Google Drive link in the email." The recipient gets a link instead of a file. That is fine for a colleague, but check the sharing setting on the Drive file, and remember that some offices and portals want the PDF itself attached, not a link.

WhatsApp is the other common route in India. Its help centre says: "For documents, the maximum file size allowed is 2 GB." Sent as a document, a heavy PDF arrives as the same file. It is a good way to get a big scan to one person, but not a replacement where a form or an office insists on email.

Common questions

What is the maximum attachment size in Gmail?
25 MB for personal Gmail accounts, according to Google's help page. Above that, Gmail removes the attachment and puts a Google Drive link in the email instead.
Why can't I attach a 30 MB PDF?
It is over Gmail's 25 MB and Outlook.com's 20 MB. Remove pages nobody needs, compress the PDF, split it across two emails, or send a Drive link.
How do I send a large PDF on WhatsApp?
Attach it as a document, not as a photo. WhatsApp's help centre says documents can be up to 2 GB.
Does compression break the text?
In a text-based PDF the text is untouched; only images degrade. In a scan, the text is an image, so it degrades with everything else.
Can I compress repeatedly to keep shrinking?
No. After the first pass you lose quality without saving space. Get it right in one go.
It got bigger after compressing.
That happens with files that were already well compressed. Drop pages or rescan instead.
